The Records/Registration Office assists students with registration, and dropping or adding classes. We also issue official transcripts, and process enrollment verifications, applications for graduation, address or name changes, and program of study changes. The Registrar, within the Records/Registration Office, certifies students have fulfilled graduation requirements, mails diplomas, assists students through Commencement, processes transfer and articulation credit, grades, incomplete's, course substitutions, and progress reports.

Requirements for Graduation
To receive the Associate in Applied Science Degree, Associate in Arts Degree, Associate in Science Degree, Associate in General Education, Diploma or Certificate, a student must maintain satisfactory grades in all laboratory and class subjects and a cumulative grade point average of at least 2.00. (Students must earn a minimum of 25 percent of credit hour requirements at Cape Fear Community College).
Intent to Graduate
Candidates for graduation must file an “Intent to Graduate” form and complete the Graduating Student Opinion Survey with the Registrar’s Office by published deadlines. For Spring graduation, the deadline is in March, the Summer graduation deadline is in June and the Fall graduation deadline is in November of each year. Please check the Academic Calendar for specific deadline dates.
Beginning March 21, 2011 with the Fall 2011 graduation, the Intent to Graduate form will need to be submitted via the student's WebAdvisor account. Students must complete the Graduating Student Opinion Survey and the Intent to Graduate form online. The process to complete both takes about 15 minutes, so allow ample time to complete the process once you log into your WebAdvisor account.
Students completing the online graduation survey and intent will receive a confirmation email within 2-3 business days of the submission of the form. If you do not receive a confirmation within that time frame, please contact our graduation specialist, Tammi Johnson at tammijohnson@cfcc.edu or 910.362.7058.
In addition, students will receive a response letter regarding their Intent to Graduate approximately 2-3 weeks after all paperwork is received in the Registrar's Office.
Intents to Graduate for the 2012-13 academic year will not be available online until after June 25, 2012.
Upon graduation, a student’s eligibility for financial aid and veteran’s benefits will end. Therefore, students must contact the Financial Aid and counseling offices if they plan to continue enrollment and receive aid in another program beyond graduation.
Commencement exercises are held following the Spring semester and at the end of the Summer session. Students who graduate in December are invited to participate in the May commencement exercises.
Graduation Needs
Fees for graduation are not included in the activity fee. The cost for caps and gowns are paid by the student directly to the company representative from whom they are being ordered. At present the cost is approximately $25.00, but is subject to change.
Orders for caps, gowns and class rings will be accepted by a company representative during announced dates. Students who anticipate graduating at the close of Spring or Summer academic sessions will be provided a limited number of commencement announcements. Students completing graduation requirements at the close of the Fall academic session will be invited to participate in the May (Spring) ceremony .
Honors Programs
Scholastic Honors
President’s List
Full time (12 or more semester hours credit) students who have earned a grade point average of 4.00 will be placed on the President’s List.
Graduating students who have achieved an “A” average, defined as a cumulative grade point average of 4.0, are recognized each year at graduation exercises for academic excellence.
(Courses numbered below the 100 level are not used to determine Scholastic Honors.)
Dean’s List
Full time (12 or more semester hours credit) students who have earned a grade point average of 3.50 with no grade lower than a “C” will be placed on the Dean’s List.
Honors List
Part time (less than 12 semester hours and at least four semester hours) students who have earned a grade point average of 3.50 with no grade lower than a “C” will be placed on the Honors List.
Departmental Honors
Students who have demonstrated outstanding leadership, attitude and ability will be awarded Departmental Honors. Recipients for these awards are selected by lead instructors in cooperation with appropriate faculty.
Change of Name/Address
These changes can be processed in-person at the Records office of any CFCC campus, or requested in writing via mail or fax. Name change requests must be documented by a marriage license, birth certificate or court decree. Your signed request, including name change documentation, if applicable, can be mailed or faxed.
Address changes can also be submitted through the students WebAdvisor Account.
Lost and Found
The Switchboard Operator will accept articles found on campus and store them for one month. Articles not claimed within one month will be given to a non-profit organization.
Student Records
The college follows the guidelines for retention and disposal of records as published by the North Carolina Community College System. Back-up copies of the permanent records are stored on computer tape, and any other student records (high school and college transcripts, acceptance, and graduation information) are microfilmed or scanned.
The permanent record includes all information on the student's transcript: Name, address, social security number, sex, date of birth, major, dates enrolled, grades, credit hours earned, grade point average, and graduation information.
Grade Change Requests
Records does not handle grade disputes and cannot process grade changes unless properly authorized by the instructor of record or the department head. Students seeking grade changes may inquire about the status of their grade at the Records department of any CFCC campus.
